This article describes the steps for receiving material into your facility. Please note that this page addresses three different alternatives for receiving material.
Make sure you understand all of the alternatives to choose the correct alternative. If you are unsure, you can always reach out to your contact at Empower or through chat.
Alternative 1: Receive from Empower user - with notification
This reception alternative should be used to receive materials from other users who ARE also using the Empower platform, AND where you ARE NOT meeting them in person for the handover of the materials. Hence, this alternative applies when the material is transported from them to you. This alternative can be used both to receive materials from other organizations or from other facilities within your own organization.
Step 1
The delivering party will send a remote delivery to your organization and specific facility (the steps they should follow are covered here (Alt. 1).
The remote delivery can be seen as a notification - a red dot on the Request tab when you log in to Empower Tracking.
Note that you will also receive a notification by email - if you don't receive this, please read this article.
Step 2
By clicking on the “Request” tab you will see an overview of the receptions and deliveries sent to and from your facility. The materials recently requested received at your facility can be found under "In progress".
Step 3
Review further details for a specific reception by clicking “View details”, such as the location of where your partner delivered the material, files they uploaded, etc.
Step 4
Note that you should always inspect the material details received, and never confirm a reception request before you have actually received the physical material.
If details are correct, accept the reception by clicking "Approve".
Step 5
Verify that the location on the map is the correct location of where you are receiving the material. If not, you can manually change the location by dragging and dropping the pin.
Verify that the time and date for when you received the material are correct.
Note that, under Receive files, you can upload additional files that will become part of the digital journey of this material, for example, pictures of the material when received by you or documentation of the trade.
Also, note that you can consult the files uploaded by the sender under Delivery Files. These files are already part of the digital journey of the material and can give your facility valuable information about the condition of the material before its sent.
Step 6
When done editing, go ahead and click “Confirm” and then “Done, back to home page”. The received material batch will immediately be part of your inventory balance.
Alternative 2: Receive from Empower user - with QR code
This reception alternative should be used to receive materials from other users who ARE also using the Empower platform, AND where you ARE meeting them in person for the handover of the materials. This alternative can be used both to receive materials from other organizations or from other facilities of your own organization.
Step 1
From the main page of Empower Tracking, click “Receive”.
Step 2
As you will be receiving material from another user of the Empower Platform, with their own device and standing next to you, click "Scan QR code".
Step 3
With the enabled camera, scan the QR code displayed on your partner’s device.
Note that the steps your partner should do from their side are covered here (Alt. 2).
Step 4
As soon as the QR code is detected, it will display a view of the details of the materials, as included by the party delivering to you. Review the details;
Verify the time and date.
Verify that the location on the map is where you are receiving the material. If not, you can tweak by dragging and dropping the pin.
Upload additional files if applicable, e.g. pictures or other documentation. These files will become part of the digital journey of the material.
If everything looks right, and you are ready to receive this material - click “Accept”, and then "Done, back to home page".
Alternative 3: Manually input / Receive from parties NOT on Empower solutions
Use this alternative when you are receiving material from partners that ARE NOT using Empower Tracking themselves. You will then define all the material details yourself.
Step 1
Click "Receive" on the main page.
Step 2
As you will now include details to digitize the material from the beginning, click "Material registration - manual".
Step 3
Write, in free text, where the material is received from, e.g. a collection organization, a middleman, an event, or an individual waste collector.
You can set up a default list of the organizations you're receiving from by following the steps in the article here.
Step 4
Choose the correct material type from the drop-down menu. Note that the materials listed here are customizable, and users with the Facility Manager and Organization Manager roles can both customize this for each facility in Empower Platform as described here.
Step 5
Select the relevant details. Note again that this setup is customizable.
Step 6
Include the weight of the material batch as accurately as possible.
Optional step
Register the payment you did to your supplier, if you wish to track this data as well.
You can input either the total payment or the price per kg. If any of these fields are filled, it will calculate automatically the other one.
Change the currency by clicking on the arrow close to the currency code.
This step will not show by default, you need to activate it in your facility settings.
Step 7
If you receive several different materials from your supplier, you can register them by clicking "Add a material".
Check or delete the materials you have registered by clicking on "More details" or on the trash bin below.
If you choose to add new material, just repeat steps 3 to 5 above.
Step 8
Once all the materials of the batch have been registered, click "NEXT".
Step 9
Review the information summarized before confirming.
Verify that the location on the map is where you are receiving the material. Note that the location defaults to the facility, which you can always edit, as described here. If you are receiving the material at a different place than the facility location you can manually tweak it by dragging and dropping the pin. If you have allowed Empower Tracking to access your current location, you can also quickly use this by clicking on the link below the map, as shown in the image below.
Note that you can also upload additional files that will become part of the digital journey of this material, for example, pictures of the received materials or documentation of the transaction.
Step 10
When satisfied with the data, click "Confirm" and "Done, and back to the home page". The material will immediately be included as part of your material inventory.
As Empower Tracking is not an app you download from App Store or Google Play, we strongly encourage you to instead add it to the home screen of your smartphone as soon as possible. This will make it appear like a normal app. See how here.
